PAIA manual, section 51

How to ask us for a record.

This is our manual under section 51 of the Promotion of Access to Information Act, 2 of 2000 (PAIA). Every private body in South Africa must publish one. It says who we are, what records we hold, how to ask for one, and what we do with personal information.

2. The Regulator's guide (section 10)

The Information Regulator publishes a guide, in plain language, on how to use PAIA. It explains how to ask for a record, what it costs, and what to do if you are refused. You can get it from the Regulator or ask us for a copy.

3. Records that are available without a request (section 52)

We have not published a notice under section 52(2). These are available to anyone, with no request and no fee: this manual, our privacy notice, and everything else on this website.

5. How to ask for a record (section 53)

  1. Fill in Form 2 (Request for access to a record) from the Regulator's website, or email us the same details: your name and contact details, which record you want, in what form, and which right you need it to protect or exercise. PAIA section 50 says a private body gives a record when it is needed for the exercise or protection of a right.
  2. Send it to the Information Officer at wynand@integrit.co.za or the address above.
  3. Pay the request fee (section 6 below). If the search will take more than six hours, we may ask for a deposit of one third of the access fee.
  4. We answer within 30 days. If the request is large or we must consult someone, we may extend once by up to 30 days, and we tell you in writing (section 57).
  5. If we refuse, we tell you which ground in Chapter 4 of Part 3 of PAIA applies (for example someone else's privacy, section 63, or commercial information of a third party, section 64) and that you may complain to the Information Regulator (Form 5) or apply to court (section 78).

If you are asking for your own personal information, you do not need to show a right: see our privacy notice. We answer those requests without a fee.

7. Personal information we process (section 51(1)(c) as amended by POPIA)

WhoseWhatWhy

Our customers' own customers, staff and suppliersWhatever the customer puts into their Desk (names, contact details, jobs, invoices)Only on the customer's instruction, as their operator (POPIA section 20 and 21). The customer is the responsible party.
Suppliers and partnersContact details, agreements, paymentsTo buy from them and pay them

Who receives it. Nobody for their own marketing. Our hosting provider (Railway, United States), our email host (HostKing), a push or Telegram alert to Wynand's phone, and, where a customer has switched it on, an AI service (Anthropic, United States) that sees only the text sent with each request.

Transfers outside South Africa. Our systems are hosted with Railway in the United States. POPIA section 72 allows this where the recipient is bound by rules that give the same protection; we rely on Railway's data processing terms and tell every data subject in the privacy notice.

Security measures (POPIA section 19). Every system needs a login; roles are checked on the server; passwords are stored hashed; all traffic is over https; each customer has their own separate copy and database; backups are taken and a restore has been tested; private links are unguessable and hidden from search engines. We keep improving this and write down what we change.

Your rights. You may ask to see, correct or delete your personal information, or object to its processing (POPIA sections 23, 24 and 11(3)). Email the Information Officer. If you are not satisfied, you may complain to the Information Regulator.
